CAM Reconciliation Agent rebuilds the year-end common area charge per tenant from the actual expense ledger and each lease's own pro-rata terms, then hands finance a tenant-by-tenant statement with the math shown.
Work Order Management
Requests arrive by call, email, text, and WhatsApp, in EN or ES. Intake, classification, vendor routing, permit issuance, SLA tracking, and photo-documented closeout run as one queue instead of four inboxes.
Help Desk Coordinator fields work orders across every channel — classifies the request, routes to the right vendor or internal team, and tracks resolution with photo and timestamp documentation.
Security Management
Incident intake from tablets and radio dispatch, SOP guidance at the moment of response, investigation records, and escalation paths. Patterns across incidents become prevention intelligence instead of a stack of closed reports.
Security Incident Manager structures the intake in the field, walks the officer through the SOP for that incident type, and files a complete record the insurance carrier and the tenant can both be shown.
Property Intelligence
Visitor flow, dwell time, and zone performance from the cameras and WiFi already installed — joined to work order volume, incident rates, and leasing pipeline. One operating picture per property, and across a portfolio.
Property Intelligence maps visitor flow across zones, identifies high-dwell areas and underperforming corners, and feeds the data to leasing for negotiations and to marketing for campaign targeting.
ORIGIN
We didn't theorize multi-tenant management from outside. We built it alongside an operator.
Routina's multi-tenant management practice was built alongside a Puerto Rico mixed-use operator running a flagship destination — retail, dining, entertainment, office, and community space all in one property. The fragmentation was severe: leasing in a CRM, rent and CAM charges in spreadsheets, contracts in a shared drive, work orders in a help desk, security incidents in tablets, visitor counters in another vendor tool. None of it talked to each other. None of it surfaced patterns.
The same logistics-grade orchestration engine that runs healthcare delivery — built first inside a working operation, hardened against real customers and real audits — translated directly into multi-tenant management.
