INDUSTRIES → MULTI-TENANT MANAGEMENT

Built for the operational complexity of multi-tenant properties.

Malls, mixed-use destinations, office campuses, and multi-location real estate operators run on a dozen disconnected systems — leasing pipelines, billing and contract files, work order tools, security logs, visitor counters. Routina is the AI middleware that turns all of it into one operational layer across five capabilities: leasing CRM, finance and contract management, work order management, security management, and property intelligence. The same logistics-grade orchestration engine that runs healthcare delivery, applied to multi-tenant management.

SCOPE

Multi-tenant management isn't one job. It's a continuous coordination problem.

An operator running a multi-tenant property is simultaneously a landlord, a finance department, a security operator, a service provider, and a community manager. Each function runs on its own tool. Leasing lives in a CRM. Rent, CAM charges, and contracts live in accounting files and shared drives. Work orders live in a help desk. Security incidents live in tablets. Visitor data lives in a counter system. None of them talk to each other.

The shapes vary — enclosed malls and mixed-use destinations, multi-tenant office buildings and corporate campuses, and portfolio operators running many locations at once. The coordination problem does not. Every one of them is managing the same five things across tenants: the deal, the money, the work, the risk, and the data.

Routina works because it doesn't replace any of these tools. It sits between them and makes them function as one operational layer. The agents that reconcile CAM charges are different from the ones that route work orders. The integrations are different. The data flows are different. What stays consistent is the platform underneath.

FIVE CAPABILITIES, ONE PLATFORM

Where Routina runs in multi-tenant management.

Five capabilities that cover the operating life of a tenant — from the first tour to the renewal, and everything the property has to do in between. They share a platform but not a workflow.

Leasing CRM

Prospect pipeline, tours, proposals, LOIs, and renewals in one record instead of a broker's inbox. Every space, every deal stage, every renewal date tracked against the tenant mix the property is actually trying to build.

AGENTS
Leasing Pipeline Agent Prospect Qualifier Tour Coordinator Renewal Analyst Tenant Records Agent

Leasing Pipeline Agent tracks every prospect from first inquiry to signed lease, flags renewals 180 days out, and arrives at the negotiation with the tenant's own performance data attached.

Finance & Contract Management

Rent billing, CAM reconciliation, escalations, collections, and the contract file behind each one. Lease terms, vendor agreements, COIs, and renewal clauses tracked as live data instead of PDFs in a shared drive.

AGENTS
Billing Agent CAM Reconciliation Agent Collections Coordinator Contract Lifecycle Agent Vendor Terms Auditor

CAM Reconciliation Agent rebuilds the year-end common area charge per tenant from the actual expense ledger and each lease's own pro-rata terms, then hands finance a tenant-by-tenant statement with the math shown.

Work Order Management

Requests arrive by call, email, text, and WhatsApp, in EN or ES. Intake, classification, vendor routing, permit issuance, SLA tracking, and photo-documented closeout run as one queue instead of four inboxes.

AGENTS
Help Desk Coordinator Service Routing Agent Vendor Coordinator SLA Tracker Facilities Reporter

Help Desk Coordinator fields work orders across every channel — classifies the request, routes to the right vendor or internal team, and tracks resolution with photo and timestamp documentation.

Security Management

Incident intake from tablets and radio dispatch, SOP guidance at the moment of response, investigation records, and escalation paths. Patterns across incidents become prevention intelligence instead of a stack of closed reports.

AGENTS
Security Incident Manager Patrol Log Agent Access Control Coordinator Incident Pattern Analyst Escalation Agent

Security Incident Manager structures the intake in the field, walks the officer through the SOP for that incident type, and files a complete record the insurance carrier and the tenant can both be shown.

Property Intelligence

Visitor flow, dwell time, and zone performance from the cameras and WiFi already installed — joined to work order volume, incident rates, and leasing pipeline. One operating picture per property, and across a portfolio.

AGENTS
Property Intelligence Visitor Flow Analyst Tenant Performance Reporter Portfolio Intelligence Cross-Property Reporter

Property Intelligence maps visitor flow across zones, identifies high-dwell areas and underperforming corners, and feeds the data to leasing for negotiations and to marketing for campaign targeting.

ORIGIN

We didn't theorize multi-tenant management from outside. We built it alongside an operator.

Routina's multi-tenant management practice was built alongside a Puerto Rico mixed-use operator running a flagship destination — retail, dining, entertainment, office, and community space all in one property. The fragmentation was severe: leasing in a CRM, rent and CAM charges in spreadsheets, contracts in a shared drive, work orders in a help desk, security incidents in tablets, visitor counters in another vendor tool. None of it talked to each other. None of it surfaced patterns.

The same logistics-grade orchestration engine that runs healthcare delivery — built first inside a working operation, hardened against real customers and real audits — translated directly into multi-tenant management. The platform survives a Saturday afternoon at a busy mall, not just a quarterly board meeting.

IN PRACTICE

One workflow per capability, start to finish.

Not a feature list. Five actual flows our agents run — what each step is, which agent owns it, what integration it touches, and what the operator sees.

LIVE Leasing CRM · inquiry to signed lease
1
Prospect Qualifier
Captures inbound space inquiries from web forms, broker email, and phone. Qualifies against the space inventory — square footage, use type, target tenant mix, available term — and scores fit before anyone spends a tour on it.
web forms, email, phone systems, leasing CRM
2
Tour Coordinator
Books the tour against property and broker availability, sends the prospect the space package and floor plan, and logs the tour outcome and objections back to the deal record.
calendar systems, leasing CRM, document storage
3
Leasing Pipeline Agent
Moves the deal through proposal, LOI, and negotiation with every version tracked. Surfaces comparable deals in the same zone and the visitor and dwell data for that space to support the ask.
leasing CRM, property intelligence layer
4
Contract Lifecycle Agent
On signature, parses the executed lease into structured terms — base rent, escalations, CAM pro-rata share, options, renewal dates — and opens the tenant record that billing, work orders, and security all write to.
e-signature, contract repository, accounting system
RESULT
One pipeline from first inquiry to a live tenant record. No deal sitting in a broker's inbox. Lease terms enter the system as data on day one instead of as a PDF nobody opens until a dispute.
LIVE Finance & contract management · billing, CAM, collections
1
Billing Agent
Generates the monthly rent run from the structured lease terms — base rent, scheduled escalations, percentage rent where applicable, CAM estimates — and flags any tenant whose terms changed since last cycle.
accounting system, contract repository
2
CAM Reconciliation Agent
At year-end, rebuilds actual common area expenses per tenant using each lease's own pro-rata formula, caps, and exclusions. Produces a tenant-by-tenant statement with the underlying expense lines attached.
expense ledger, accounting system, contract repository
3
Collections Coordinator
Tracks aging by tenant, opens the reminder sequence in the tenant's preferred channel and language, and escalates to the property manager with the full payment history and lease remedies already assembled.
accounting system, email, Twilio SMS, WhatsApp Business
4
Vendor Terms Auditor
Runs the same discipline against the vendor side — contract terms, rate cards, COI expirations, renewal and termination windows — and alerts before a term auto-renews unreviewed.
contract repository, vendor management platform
RESULT
The rent run, the CAM reconciliation, and the collections sequence all read from the same lease terms. Tenant disputes answered with the clause and the expense line, not a rebuilt spreadsheet.
LIVE Work order management · call, email, text, WhatsApp
1
Help Desk Coordinator (Virtual Operator)
Receives incoming requests via phone call, email, SMS, or WhatsApp. AI-powered intake captures the request type, location, urgency, and contact information — in EN or ES, in the channel the requester used.
phone systems, email, Twilio SMS, WhatsApp Business
2
Help Desk Coordinator
Classifies the request: routine maintenance, urgent repair, vendor work order, security concern, tenant complaint, vendor permit (permiso de trabajo). Routes to the right internal team or external vendor.
vendor database, internal team directory
3
Service Routing Agent
Assigns the work order with full context — location, urgency, prior incidents at this location, vendor contract terms. Notifies the assigned vendor with the work scope and the SLA window.
vendor portal, work order system
4
Help Desk Coordinator (resolution)
Tracks the work order to completion. Captures photo evidence, vendor comments, and timestamp confirmation. Logs the resolution to the property's operations record, notifies the original requester in their channel, and passes any billable work to finance.
work order system, accounting system, requester's original channel
RESULT
Four channels collapsed into one work order queue. Vendor coordination tracked end-to-end. Requesters get answers in the channel they used. Billable work reaches finance without a second entry.
LIVE Security management · incident to prevention
1
Security Incident Manager
Structures the intake at the moment it happens — officer on a tablet or radio dispatch. Incident type, location, time, parties, and initial narrative captured in a consistent record instead of a free-text note.
tablet incident capture, dispatch, CCTV systems
2
Security Incident Manager
Serves the SOP for that incident type while the officer is still on scene — required steps, notifications, evidence to capture — and confirms each step as it is completed.
SOP library, access control systems
3
Escalation Agent
Notifies the property manager, the affected tenant, and where the SOP requires it the insurance carrier or law enforcement contact — with the record as it stands, in the channel each party uses.
email, Twilio SMS, WhatsApp Business, tenant directory
4
Incident Pattern Analyst
Reads across incidents by zone, hour, and type. Surfaces the recurring ones — the loading dock at closing, the same parking level on weekends — and opens a work order or patrol change against the cause.
internal analytics, work order system
RESULT
Every incident closes as a complete, defensible record. Recurring patterns turn into a work order or a patrol change instead of a stack of filed reports.
LIVE Property intelligence · weekly tenant performance
1
Property Intelligence
Reads CCTV camera feeds and WiFi signal data continuously. Maps visitor flow across property zones, dwell times, peak hours, repeat visit patterns. Segments by visitor type where signals allow.
CCTV systems, WiFi infrastructure
2
Visitor Flow Analyst
At week-end, aggregates 7 days of visitor data into a zone-by-zone performance map. Identifies underperforming corners, high-dwell winners, traffic patterns by day-part.
internal analytics, data warehouse
3
Tenant Performance Reporter
Generates a tenant performance report per anchor tenant — visitor traffic during their hours, dwell time around their storefront, repeat visit rate to their zone. Compares against prior weeks and prior tenants in the same space.
tenant performance dashboard, leasing CRM
4
Portfolio Intelligence
Rolls the same picture up across every property and joins it to the other four capabilities — work order volume, incident rates, billing exposure, and open leasing pipeline — into one executive view.
data warehouse, accounting system, work order system
5
Leasing Pipeline Agent
Pushes the high-value insights back into the deal. 'This tenant drove 18% more dwell time than the previous occupant of this corner — strong renewal case.' Marketing gets the same data for campaign targeting.
leasing CRM, marketing platforms
RESULT
Visitor data converted from a vendor dashboard nobody reads into a weekly operating rhythm. Leasing negotiations grounded in tenant-specific performance. One picture per property, and across the portfolio.

COMPLIANCE

Property-grade by default.

Not features we added. Conditions we built in — because in multi-tenant management, the CAM audit, the insurance carrier, and the regulator can all show up the same week.

Incident Audit Trail

Every security incident logged with structured intake, SOP guidance, investigation record, and outcome documentation. Pattern analysis converts incidents into prevention intelligence over time.

Work Order & Financial Documentation

Every work order timestamped, attributed, and resolved with photo and vendor confirmation. Every billing and CAM reconciliation traceable to the lease clause and the expense line behind it. Liability defense, tenant disputes, and insurance claims answered in seconds, not days.

Visitor Data Privacy

Property intelligence built with privacy by design. Aggregate patterns surfaced to operations — individual visitor data stays inside the property's own data layer, not shared with vendors or third parties.

Vendor, Permit & Contract Compliance

Permisos de trabajo (vendor work permits) tracked from issuance to completion. Vendor insurance verification, COI tracking, contract terms and renewal dates, and compliance documentation on a per-vendor and per-lease basis.
